This notice is written for you as an individual — a staff member or volunteer whose organization uses Ekko — not for the organization itself. Some sections apply specifically to staff, and some apply specifically to volunteers; each is labeled. If you're both, both apply.
What Ekko Is, In Plain Terms
Ekko is a planning tool your organization uses. Your organization controls your account and configures who within it can see what — Ekko doesn't make that decision independently. Ekko processes your information to provide the service your organization has asked for, not for purposes of its own.
What We Collect About You
- Your name, email, and role or ministry assignment.
- Personality and spiritual-gifts assessment results, if you choose to complete them.
- For staff: compensation and personnel records your organization's administrators enter.
- Activity within the app, such as planning contributions and whiteboard sessions.
Who Can See What
Assessment results are visible to your ministry leaders and organization administrators, as your organization has configured its access settings — unless you're a volunteer who has chosen not to share (see below). Compensation and personnel records, where applicable, are visible only to your organization's designated administrators. Your organization controls these settings, not Ekko — if you have a question about who specifically can see your information, your organization's administrator is the right first stop.
If You're Staff: Notice of Internal Visibility
As a member of your organization's staff, the information described above may be visible to the people your organization has designated, per the settings above, as a normal part of using Ekko for your role. This is a disclosure of how the tool works, not a choice you can decline while continuing to use your organization's Ekko account for your role.
If You're a Volunteer: Your Choice to Share
As a volunteer, completing an assessment in Ekko is entirely your choice, and so is sharing the results. You can complete an assessment for your own use — Ekko will always keep a record of it so you can return to it — without sharing it with your organization. Sharing is an all-or-nothing choice covering everything you've completed, not something you set assessment-by-assessment, and you can change your mind at any time going forward (though anything a leader has already seen can't be un-shown to them). Your organization can see that you've completed assessments and whether you've chosen to share, but not the results themselves unless you've shared them. If you don't want Ekko to have any record of an assessment at all, the answer is simple: don't complete it in Ekko — nothing about your ability to volunteer depends on this choice.
If You're Under 18
Ekko does not permit self-service account creation for anyone under 13. For volunteers between 13 and 17, your organization may set its own minimum age for volunteer accounts, and both you and your organization affirm that age requirement is met when your account is created.
How Long We Keep This
See the Data Retention section of our Privacy Policy. In short: your information is retained while your organization's account is active, and only for as long as needed after your organization removes your access or ends its own Ekko subscription.
Your Rights & How to Exercise Them
You can typically edit or delete your own self-reported assessment results directly within the app. For anything entered about you by someone else — such as compensation records — a request should go through your organization first, since it controls that data. For anything not covered by either path, you can reach us directly at privacy@ekkoplan.com.
AI Processing
If your organization uses Ekko's AI features — such as extracting results from an uploaded assessment PDF, or generating planning suggestions — Anthropic's Claude API processes the relevant data server-side to produce those features. See our Privacy Policy for more on how that's handled.
Changes to This Notice
If we make a material change to this notice, you'll be asked to acknowledge the updated version the next time you sign in.
